Organize videos by client, in projects. Every recording in its place.

Organizing videos by client in FilmScribe means creating a project for each client, event or series, with a description and tags, and moving your files into it. Then star what you open all the time, filter by content type, status or date, and find any recording by name. On Agency, a project's files also become one transcript.

Projects

One project per client, event or series, with tags

When you shoot three weddings a month, cover Sunday services and edit a weekly podcast on the side, recordings pile up fast. Projects keep it under control: give one a name, like “Emma and Jake's wedding”, write a description and add tags, such as the year, the city or the kind of job. Move files into the right project one at a time or several at once, or create the project while you move them. There's no limit on files per project. Inside, files sit in the order you sent them, oldest first, and you change the order by dragging each one by its handle; “Back to the order sent in”, in the project menu, undoes it. Each file keeps its own transcript, chapters, emotions, clips and scripts. If a project stops making sense, delete it: the files don't disappear, they just go back to Files.

  • Name, description and tags on every project
  • Move several files at once, or create the project as you move
  • Files in the order sent in, or in the order you drag
  • Deleting a project doesn't delete the files

On Agency, the whole project in one transcript

A documentary with six interviews, a series of four services, a podcast recorded in parts: on Agency, “Join and see it all together” turns the project's ready files, two or more, into one transcript, in the project's order. Nothing is transcribed again and no hours are used. Each file starts with a divider showing its name and “Open file”, and every line shows its time in the project and in the file. Each file's chapters, emotions, hooks and key moments come in sequence. If the same people speak in every file, tick the box when you join, and Person 1 of each file becomes the same person in the project. Favorites, highlights and fixes made there go back to the file the line came from. A script can use the whole project or only some files, whole or a stretch of each. Diagrams, translation, MP3 snippets and editor export work on the joined files too.

  • One transcript, in the project's order, with no hours used
  • Each line's time in the project and in the file
  • Favorites, highlights and fixes go back to each file
  • A script from the whole project or from parts of the files

Favorites and filters

Favorites and filters so you stop hunting

The star takes care of what you open every week: favorite the file for the client you're working on and the project for the series still on air, then filter by favorites when you need them. In your file list, filters combine type (audio or video), status, content type, project, upload date, length and favorites, and you can sort by date, name or length. That lets you see, say, only sermons over two hours uploaded in the last 30 days, or the files that still don't have a project. Search by name ignores accents and capital letters: “jose” finds “José”. In projects, search looks at both names and tags.

  • Filters by type, status, content type, project, date, length and favorites
  • Sort by date, name or length

Transcript search and favorite lines

Organizing doesn't stop at the project. Inside each file, transcript search jumps you from one mention of a word to the next, and the lines you star become that file's list of favorites, ready to download as MP3 or, on Studio and Agency, to become a timeline in your editor. Every upload's status is right there: pending, processing, done, failed or waiting for YouTube to release a livestream replay. And if you want to search several recordings at once, the connector on Studio and Agency lets your AI assistant open the transcripts one by one and tell you where each topic came up.

  • Search inside the transcript, mention by mention
  • Favorite lines per file, ready to download or export
  • Status for every upload, including livestreams waiting for the replay
  • Search across recordings through the connector, which also organizes projects if you allow it (Studio and Agency)

Frequently asked questions

How do I organize videos by client in FilmScribe?

Create a project for each client, event or series and move your files into it, several at a time. Use the description for context and tags to cross-reference, like the year or the city. Each file in the project keeps its own transcript, chapters, clips and exports.

Can I favorite files and projects?

Yes. A star marks any file or project as a favorite, and the favorites filter shows only what you starred. Inside each file, you can also favorite transcript lines, which then become MP3s, an editor timeline (Studio and Agency) or the starting point for a clip.

Can I search a phrase across all my recordings?

In the app, search finds files by name and, inside each file, any phrase in the transcript. On Agency, once you join a project's files, searching the joined transcript finds the phrase in all of them. To look for a topic across several recordings at once, you can also use the connector on Studio and Agency: your AI assistant opens the transcripts one by one and tells you where it came up, with the timestamp of each line.

How long are my files kept?

As long as you use them. With an active subscription, a file left unopened for 45 days is removed automatically (7 days if it failed or was never processed), always with an email heads-up first so you can download what you need. Opening the file again resets the clock. Without an active subscription, the window is 15 days. If the account only used the free trial and it ends without a subscription, its files are removed 5 days after signup, with no heads-up.

What is a project in FilmScribe?

A project groups the files of one client, event or series. Each file keeps its transcript with speakers, chapters, emotions, favorites and, on Studio and Agency, hooks, scripts and diagrams. If it's a video, its clips live there too. Every plan creates projects; on Agency, you can also join a project's files and see it all together.

What can I do with the joined files on Agency?

Every audio tab shows everything from the files: each one's transcript, chapters, emotions, hooks and key moments, in sequence. There you favorite, highlight, fix the text, name speakers, translate, make diagrams and scripts and export to your editor. Chapters and hooks come from each file: nothing is generated again for the project, and clips stay in each video file. A speaker name you give there applies to the project and doesn't change the file.

If I delete a project, do I lose the files?

No. Deleting or clearing a project takes the files out of it, and they go back to Files with no project. The transcript, clips and everything you did in each file stay intact. Only the scripts and diagrams made on the project's joined files are deleted with it. To find the files later, filter by “No project”.

Can I see what's still processing?

Yes. Every upload shows its status: pending, processing, done, failed or waiting for YouTube, when a livestream replay hasn't been released yet. The status filter gathers everything in progress, and you keep working on the finished files in the meantime.
