How to transcribe a recorded meeting

    Download the recording

    From Google Drive for Meet, OneDrive or SharePoint for Teams, or the Zoom folder, as video or audio only. If the meeting is on YouTube, paste the link in the other tab.

    Sign up and upload

    Upload the MP4 or M4A as it is. If the useful talk starts after the small talk, set a start and end: only that range counts.

    Read the summary and download

    Start with the summary and chapters, check key lines by listening, then download the transcript as TXT or PDF.

Where Meet, Teams and Zoom save your recordings

Each app keeps the recording somewhere different, and that file is what you upload. In Google Meet, the recording goes to the organizer's Google Drive, and a link arrives by email. In Teams, a regular meeting goes to the OneDrive of whoever started recording, and a channel meeting goes to the team's SharePoint. In Zoom, a recording on your computer sits in the Zoom folder inside Documents, and one saved to your Zoom account lives in the web portal, under Recordings.

All three save MP4. Zoom usually also saves an audio-only M4A, much smaller and faster to upload. Whether you can record depends on your account's plan and your company's rules, and the file takes a few minutes to show up after the meeting ends.

Meeting transcription without a bot joining the call

We are not an extra name in the participant list. You record in the app you already use and upload the file afterwards. That has three upsides: nobody has to admit an unknown guest, it works the same with any platform, and it also covers the in-person meeting recorded on a phone in the middle of the table.

The care goes to the people in the room. Tell them the conversation is being recorded and what the transcript is for. Video call apps show a recording notice, but in an in-person meeting that notice is up to you.

From transcript to minutes: summary, chapters and each speaker

On the file page, the meeting opens with a synopsis of what was discussed. Chapters split the recording by topic, each with a title, summary and timestamp, and the Meeting content type tunes what we look for. For the minutes, search finds the word "deadline" or the client's name in seconds.

To be straight with you: we don't produce a task list with owners and due dates. The decisions are in the transcript, split by speaker and stamped with the minute they were said, and you write the minutes from there. Lines arrive as Person 1, Person 2. On Studio and Agency, we suggest each person's name from the moment they introduce themselves or are called by name.

Do you join the meeting to record it?

No. We don't join calls or record anything. You record in Meet, Teams or Zoom, or with a phone in an in-person meeting, and upload the file afterwards.

Where do I find a Teams recording to download?

For a regular meeting, in the OneDrive of whoever started recording, in the Recordings folder; for a channel meeting, in the channel's Files tab, also under Recordings. Open the file menu and download the MP4.

Do you write the minutes with each person's action items?

We don't generate an action item list. You get the transcript split by speaker, a synopsis and chapters with summaries, plus search. With that, writing the minutes takes minutes, because every decision carries the time it was said.

Can I tell who said what?

Yes. Lines arrive separated by speaker on every plan. Naming each person, or letting us suggest names from the introductions, is part of Studio and Agency.

Can I transcribe a meeting that's on YouTube?

Yes, when the meeting was posted or streamed on YouTube, like a webinar, a town hall or an open session. Paste the link in the YouTube link tab. Private videos can't be imported; in that case, download the recording and upload the file.

How much does meeting transcription cost?

The trial lasts 3 days or 1 hour of recordings, with a card on file. If you don't cancel, the plan you picked starts, with 10, 20 or 35 hours a month, from R$ 59 (BRL). Ten one-hour meetings fit in the 10-hour plan.
